At the Tony Blair Institute for Global Change we are dedicated to making globalisation work for the many, not the few. Our staff – over 200 of them, based all over the world – are working on some of the most intractable problems around issues of co-existence, governance, the peace process in the Middle East and renewing the centre.

Focus of the Role:

The Junior Executive Assistant will work closely alongside a small team of Executive Assistants who support the Executive Directors of the Institute.  The core responsibilities of the role will include diary management, travel, as well as providing administrative support to the Central Services. The candidate must be confident managing multiple demands on their time and able to prioritise.

Key Duties:

  • Diary management – internal and external meetings; conference/video calls, across time zones whilst anticipate the priorities of the Directors and ensure diaries reflect shifting priorities
  • Travel support - organising visas, flights, trains, accommodation, transfers, currency, inoculations, scheduling meetings and preparing itineraries
  • Correspondence management – filing and actioning incoming correspondence and preparing letters/emails on behalf of management
  • Meetings and Events – arranging internal and external meetings and events, including scheduling, logistics, catering, supplies, preparing agendas, circulating papers, tracking action points, taking minutes
  • General admin - incl filing, photocopying, stationery ordering, holiday records, contact management, festival cards, registering gifts and undertaking ad hoc projects as directed  
  • Greeting visitors and clients, arranging refreshments incl Reception cover and assistance when required
  • Expense management – completing monthly claims and assisting with invoice processing in liaison with Finance
  • Assistance – Supporting the wider EA team with tasks as and when required, incl cover during periods of absence
What We Look For in Our People:
  • At least one year’s prior office, including diary experience preferred
  • Excellent communication, time management and organisational skills
  • Excellent IT skills including Microsoft Outlook, Word, Excel and Power Point
  • High levels of discretion, interpersonal skills and attention to detail
  • An ability to operate in a fast moving and pressured environment
  • Team player with a positive, helpful attitude
  • Support for the aims of the organisation
