Focus of the Role:
The successful candidate for the role should be able to display the majority of the following:
 
  • An undergraduate degree and 3-5 of years of previous senior level PA / EA experience
  • Ability to manage an office
  • Excellent communication, time management and organisational skills
  • Excellent IT skills including Microsoft Word, Excel, Power Point and Outlook
  • High Levels of discretion
  • Good judgement and tact
  • High level of interpersonal skills
  • An ability to operate in a fast moving and high-pressured environment
  • Operational level political understanding and knowledge of current affairs
  • Fluency in Arabic and English is a requirement
What We Look For in Our People:
This role is in a fast-paced team in our Abu Dhabi team, responsible for the day to day diary management of the Executive Director and for supporting a team of 20+ consultants. S/He must be confident managing multiple demands on their time and able to prioritise.
 
  • Diary Management – managing diary across time zones, reflecting shifting priorities, and anticipating priorities
  • Travel support- organising visas, flights, trains, accommodation, transfers, currency, inoculations, scheduling meetings and preparing detailed itineraries and supporting briefing/materials
  • Executive meetings - administration of executive/departmental meetings including scheduling, preparing agendas, circulating papers, tracking action points, taking minutes, hosting guests etc.
  • Office management – ensuring infrastructure and hardware is always ready and functioning, coordinating with suppliers, liaising with support functions (e.g. legal, compliance, finance) at HQ
  • Research support- collecting data, carrying out research (for instance reviewing online source material) and writing basic briefing material
  • Expense Management – completing monthly claims
  • Maintaining contact database: Scanning / typing business cards, filing cards and keeping contacts up to date
  • Correspondence management- File and action incoming correspondence and prepare letters / emails on behalf of management
  • Filing - creating, maintaining and retrieving (paper/electronic) materials for review. For instance- ahead of meetings or in support of projects
  • Gifts and Entertainment – record gifts / entertainment received on the company register
  • General admin support- assistance to the wider team as and when time permits
